„Monteria FAT BIKE RACE Stołowe Mountains”

§1. Time, place, organizers and objectives of the race

  1. Regulations define the rules of participation in a sport event called „Monteria FAT BIKE RACE Stołowe Mountains” (hereinafter referred to as „Event”), which includes two bicycle races: the Prologue of the race (hereinafter referred to as „Prologue”), which will take place on January 27th, 2017 , time: 18: 00-19: 30, and the main race (hereinafter referred to as „Race”), which will take place on January 28th, 2017 time: 11: 00-14: 00. The event will take place at the Stołowe Mountains National Park – the start and finish of the Prologue and the race are located at OW Szczeliniec.
  2. The Organizers of the event are CYKLON Maciej Gilewski located in Kudowa-Zdrój (57-350), ul. Zdrojowa 10 and Holiday Resort Szczeliniec, represented by EKOMA TRADE SERVICES ( EKOMA Handel Usługi) Marcin Sznajder located in Kudowa-Zdrój (57-350) Karłów 6A , hereinafter referred to as „Organizers”.
  3. The aim of the sport event „Monteria FAT BIKE RACE Stołowe Mountains” is the promotion of Karłowo in the administrative district of Gmina Radków, the popularisation of „fat bike” mountain bikes and healthy lifestyle, active leisure and recreation in winter.

§2. General Information – Race

  1. The race will take place on January 28th , 2017. Start of the race is scheduled for 11.00. The Organizers reserve the right to change the start time depending on the prevailing weather conditions on the route. The end of the race is scheduled for 14.00.
  2. Place to start and finish the race is OW Szczeliniec.
  3. The race office, located in the OW Szczeliniec, will be open on the day of the Race of from 9:00 to 10:45.
  4. The race route, approx. 30 km, will run through cross-country running and cycling trails , delineated in the Stołowe Mountains National Park (the detailed route will be available online: www.fatbikerace.pl).
  5. The maximum number of participants in the race is 200.

§3. The terms and conditions of participation in the Race

  1. To participate in the race, you need to register on the website www.fatbikerace.pl, fill in the application form and pay the participation fee.
  2. The race has an open formula. All individuals are welcome to take part in the race with the provision that the minors are also allowed only under the supervision of a parent or legal guardian or after submitting a parental written consent to the Organizers.
  3. During the race Participants cannot shorten or change the route designated by the Organizers. In case the Participant divert from the route, he should return to the race route and start at the same point where the route was interrupted.
  4. Participants must have an identity card, efficient bike and a rigid bicycle helmet for the duration of the race.

§4. Fee and Cancellation of participation in the Race

  1. Participation in the race needs to be prepaid. The fee for participation in the race has to be paid via bank transfer after filling in the application form:
  1. in the amount of 50 PLN (until 31 December 2016)
  2. in the amount of 70 PLN ( in the period 1-22 January 2017)
  3. in the amount of 90 PLN (in the period 23-27 January 2017)
  4. on the Prologue and the race day ( January 27th and 28th, 2017) in the amount of 90 PLN, paid in cash in the race office. 

!!! (Participation in the Prologue is free of charge – participation in it or not does not affect the amount of the fee for the participation in the Race).

  1. As part of the participation fee Organizers will provide the opportunity for the Participants to take part in the race and to receive commemorative medals, diplomas, food and drinks.
  2. Participants who register online, have the right to withdraw from participating in the race without disclosing the reason for it. Resignation may be made not later than 7 working days before the start date. The date of resignation shall be the date of sending the e-mail by the Participant to the Organizers.
  3. Cancellation of participation is carried out by sending a notice of resignation to the e-mail address kontakt@fatbikerace.pl listed in the „Contact” section on www.fatbikerace.pl.
  4. Where information about the cancellation of participation shall be delivered within the period specified in point. 4, the Organizers will return the full amount of the participation fee to the Participant.
  5. Where information about the participation withdrawal is going to be submitted after the deadline specified in point. 2, as well as if the Organizers do not receive such information for reasons beyond their control, the Participant will not use the reservation and the Organizers will not find a replacement the Organizers will pay the Participant the participation fee reduced by the cancellation fee in  the amount of 20PLN. Cancellation fee is associated with the preparation of starting numbers, meals and other materials prepared for the exact number of participants.

§5. Classification, penalties, protests and awards

  1. Race categories are:

– Women (mountain bike: tire width up to 3 „),

– Men (mountain bike: tire width up to 3 „),

– Women (fat bike: tire width of 3.1 „),

– Men (fat bike: tire width of 3.1 „).

  1. Time to complete the route measured at the finish of the race determines the ranking.
  2. Organizers may decide about the following penalties:
  1. Warning.
  2. The penalty time (added to the result).
  3. Disqualification.
  1. Above mentioned penalties will be applied to Participants who violate the race regulations. Penalty types will be determined on individual basis by the Organizers.
  2. Objections regarding the course of the marathon, classification and final results must be submitted in writing  to the race office only on the day of the race. Objections concerning the results and classifications will be accepted for a period of 30 minutes after the announcement of results. After this time objections and complaints will not be considered. Any written complaints must be accompanied with a deposit of 50PLN.  The deposit will not be returned if the Organizers do not confer validity of the claim. The final decision belongs to the Organizers.
  3. Race results announcement and award ceremony will take place at 14:30 on the day of the race – the exact time of announcement of results and handing the awards to the finest Participants will depend on the completion time by the last Participant.
  4. Prizes are provided in each category up to the 3rd place.

§ 6. General Information – Prologue

  1. The Prologue will take place on January 27th, 2017. Start of the Prologue is scheduled for 18:00. The organizers reserve the right to change the start time depending on the prevailing weather conditions on the route. End of the Prologue is scheduled for 19:30.
  2. Start and finish of the Prologue will take place in OW Szczeliniec.
  3. Participation in the Prologue is free of charge.
  4. The race office, located in the OW Szczeliniec, will be open on the day of the Prologue from 16:00 until 19:00. In the office Prologue participants can also register for the main Race, and pay a fee (cash only) in the amount of 90PLN.
  5. The route of the Prologue (7 km), will run through cross-country running and cycling trails, delineated in the Stołowe Mountains National Park (the detailed route will be posted online on www.fatbikerace.pl).
  6. Announcement of the Prologue results and the decoration will take place at 20:00 – the exact time  of the results announcement and handing the awards to the finest Participants will depend on the completion time by the last Participant.
  7. It is intended to honor only the 1st place Participant.

§ 7. Terms and conditions of the participation in the Prologue

  1. Participation in the Prologue is free of charge. Available only for all registered Partcipants.

  1. The results of the Prologue will not affect the scoring of the main race – PROLOGUE IS A VOLUNTARY INITIATIVE.
  2. During the Prologue Participants can not shorten or change the route designated by the Organizers. In case the Participant deviate from the route, should return to the route of the Prologue and start at the same point where the route went down.
  3. During the race Participants can not shorten or change the route designated by the Organizers. In case the Participant divert from the route, he should return to the race route and start at the same point where the route was interrupted.
  4. Participants must have an identity card, efficient bike and a rigid bicycle helmet for the duration of the race.
  5. The Prologue category is classified as Open.

§8. Principles of safety

  1. The Organizers will provide the necessary technical measures including medical support, marking the route of the Prologue and the race, and any other measures necessary to ensure the safety of all Participants taking part in both events.
  2. Participants are obliged to behave in a way that does not endanger the life or health of people, including other participants, and without jeopardizing any personal properties.
  3. The event must not be attended by persons holding a gun, explosives, pyrotechnics or other dangerous materials or tools.
  4. Participants must not be under the influence of alcohol, narcotics or psychotropic substances, and/ or in possession of alcoholic beverages, narcotics or psychotropic substances during the events.
  5. Participants shall immediately inform the Organizers of emergencies or risky situations.
  6. Participants are prohibited from any other behaviors that could disrupt the event or cause danger on the route of the Prologue and / or race.
  7. Organizers are entitled to demand from the person whose conduct violates applicable laws and provisions of the Regulations ; who is under the influence of alcohol or drugs; who behaves aggressively or is posing a threat to the order of the race and safety of other Participants to leave the event.
  8. Participants are ordered to respect the environment. It is strictly prohibited to contaminate the route of the race. Littering the  route of the Prologue and the race will be penalized and Participants will be disqualified. It is prohibited to use glass containers in the vicinity and along the route of the Prologue and the race.
  9. The Organizers of events have the right to cancel the event or one of the events included in its composition if they find a direct threat to life or health of the Participants and/or if the Participants do not comply with the Regulations and orders set by the Organizers, and also in the event of an emergency situation.
  10. Participants are required to leave the area without undue delay if the interruption or termination by the Organizers or other authorized bodies has been announced.
  11. Participants are obliged to familiarize themselves with these regulations.
  12. Participants are obliged to comply with the provisions of these Regulations and guidelines set by the Organizers.

§ 9. Final Provisions

  1. The Organizers are not liable for occuring accidents and missing things. Participants take part in the event at their own risk.
  2. Participants will be familiarized with these regulations.
  3. The event takes place regardless of the weather.
  4. By participating in the Event each Participant give their consent to the processing of personal data by the Organizers for the purpose of organizing and promoting events, according to the Law from August 29th 1997 concerning personal data protection (Dz. U. 2002. No. 101 item. 926). Submission of personal data is voluntary, and the Participant shall have the right to access their personal data and correct them.
